Flight number and meet-and-greet details for airport transfers

How to share your flight number, meet-and-greet and meeting point details for an ADB–Urla transfer.

The most critical piece of information guests arriving in Urla from Izmir Adnan Menderes Airport (ADB) share when booking a transfer is the flight number. This is because where and when the driver should wait for you depends largely on it. In this article we explain why the flight number is requested, how the meet and greet works and what to write in your booking message.

Why is the flight number requested?

When the flight number is shared, the meet and greet is planned around your landing time at the airport. That is, not only the departure or scheduled landing time but the real status of the flight is taken into account. If the flight lands early or is delayed, the driver’s waiting plan can be adjusted accordingly. This reduces unnecessary waiting for both you and the driver.

If you give only an estimate such as “around 14:00” without this information, the flexibility of the plan decreases. For this reason we recommend writing the flight number, the departure city and the scheduled landing time together in your booking message.

What to write in the booking message

  • Flight number, departure city and scheduled landing time
  • Number of passengers and whether there are children
  • Number of suitcases and special items such as sports equipment or a pushchair
  • If you need a child seat, the number and age group
  • Your address in Urla, the name of the hotel or villa
  • A phone number (reachable on WhatsApp)

The current legal rules for child seats change from time to time; check them with official sources. When you state your request, availability is confirmed.

Meet and greet and the meeting point

The meeting point and the driver’s contact details are shared with the booking confirmation. So after landing you do not have to work out whom to call and where; the details are already in your hands. Seeing the driver, or the driver’s identifying details, at the airport exit gives reassurance, especially to first-time visitors.

Passengers arriving from abroad go through passport control and baggage reclaim. This time varies with the flight, passenger volume and the baggage belt. So your exit time may be considerably later than your landing time. Staying in touch with the driver on WhatsApp helps in the meantime.

Delays and early landings

If the flight is delayed, the meet-and-greet time is updated according to the landing time. What matters here is that you also send a message when you notice the delay. Waiting terms are set out in the quote; so settle at the booking stage how situations such as a long delay or a missed connection will be handled.

General information on the ADB–Urla road

InformationApproximate value
DistanceApproximately 60 km
TimeApproximately 50–70 minutes
Affecting the timeTraffic, hour of day and season
Alternative destinationsA separate quote is made for the Çeşme and Alaçatı direction

These values give a general idea; they vary with traffic. The road may take longer on summer weekends and during public holidays. When planning your journey, allow for this margin, for example by setting a dinner reservation well after your landing time.

Written quote and confirmation process

The price is sent in writing via WhatsApp before the journey. Your booking is confirmed once you approve the quote. Giving the flight number at the quote stage ensures the waiting and meet-and-greet terms are written correctly in the quote.

Night and early-morning flights

For flights landing late at night or before dawn, there are extra points that need to be settled in advance: the time you can check in at your accommodation, the key handover method and, at places such as villas, whether someone will be there to welcome you. Passing this information to the driver reduces surprises on arrival.

A short checklist for arrival day

Going through these steps the day before your flight makes the time after landing easier:

  1. Save the meeting point and driver contact details from the booking confirmation message on your phone.
  2. If the flight number has changed (a connection, a different flight), tell us straight away.
  3. Check your phone’s roaming and WhatsApp access; if necessary, use the airport Wi-Fi.
  4. Keep water and a charger within easy reach as you exit.
  5. Send your accommodation address with a map link and, if possible, share your location.

If passenger numbers or luggage change

If the number of passengers or the amount of luggage changes before the flight, tell us as early as possible. Even a small increase can affect the choice of vehicle; for example, a group of eight will not fit in a six-seat vehicle. Exact capacity and equipment are confirmed in the quote, so changes should also be confirmed in writing.

An airport transfer also has a return leg. Sharing a separate flight number, passenger count and meeting details for the outbound and return journeys ensures both directions are planned completely. For the return, set your departure time from Urla by counting back from your flight’s departure time, allowing that the road takes approximately 50–70 minutes and varies with traffic. A further margin is needed for airport procedures.
